TERMS & CONDITIONS

The agreement behind every Monocle & Co. film, set out plainly.

Weddings involve a lot of moving parts. These Terms are here so that you know what you can expect from us, and what we need from you.

We’ve tried to keep them straightforward. If there’s anything you’d like us to explain before booking, just ask.

01About Us & This Agreement

Monocle & Co. is a registered business name of The Seabury Studio Limited, an Irish limited company, company number 765241, with its registered office at Ballybaun, Ballyglunin, Tuam, County Galway, Ireland.

In these Terms, “Monocle & Co.”, “we”, “us” and “our” mean The Seabury Studio Limited trading as Monocle & Co. “You” and “the Client” mean the person or persons making the booking.

These Terms, together with your booking details and anything specifically agreed between us in writing, form the agreement for the videography services we provide.

02Your Booking

Your wedding date is reserved once we have accepted your booking and received the €450 booking fee.

Your booking confirmation will set out the wedding date, venue or venues, collection or package selected, agreed price and any additional services agreed at the time.

Because we reserve the date specifically for you and may decline other enquiries for the same date, a booking is not confirmed until the booking fee has been received.

03Booking Fee & Payment

A €450 booking fee is payable to secure your wedding date. This fee covers the administration involved in establishing your booking and our commitment to reserve the date exclusively for you.

The remaining balance is normally due during the week before the wedding or, by prior agreement, on the wedding day.

Additional services requested later—including extended coverage, agreed travel or accommodation expenses, or other optional extras—may be invoiced separately and must be paid before delivery of the completed films.

Payment may be made using the payment methods we make available at the time.

04Cancellation by You

We understand that circumstances change. If you need to cancel your wedding or our services, please tell us in writing as soon as possible.

The €450 booking fee is non-refundable because the date has been reserved for you and may have resulted in other work being declined.

Any other sums already paid will be dealt with fairly, taking account of services already provided, expenses already incurred and your rights under applicable consumer law.

We do not normally seek payment of the outstanding balance for services that have not been provided following a genuine cancellation.

05Postponement or Change of Date

If your wedding is postponed or the date changes, please contact us as soon as possible.

We will make every reasonable effort to transfer your booking to the new date without treating it as a cancellation, provided we are available.

We cannot guarantee availability for a replacement date. If we are already committed elsewhere, we’ll discuss the available options with you.

A significant change of venue or other arrangements may also require changes to travel, accommodation, coverage or pricing, which we’ll agree with you beforehand.

06If We Cannot Attend

In the very unlikely event that your filmmaker cannot attend because of serious illness, injury, emergency or another circumstance genuinely outside our reasonable control, we will make reasonable efforts to arrange a suitably experienced replacement filmmaker.

Where practical, Monocle & Co. will retain responsibility for the editing and delivery of your films so that the finished work remains consistent with the style you booked.

If we cannot provide the agreed service or arrange a suitable replacement, payments for services we cannot provide will be refunded.

Nothing in these Terms affects rights or remedies that cannot lawfully be excluded under Irish consumer law.

07Travel & Accommodation

Travel within a 100 km round trip from Ballybaun, Ballyglunin, Co. Galway is included.

Where the wedding requires travel beyond this, mileage may be charged at up to €0.50 per kilometre for the additional distance. Travel between locations during the wedding day is included when calculating the overall journey.

Where a venue is more than approximately 150 km away, reasonable overnight accommodation may be required, up to €200 per night. Occasionally two nights may be necessary where travel distances and coverage hours make same-day travel impractical or unsafe.

Destination weddings outside Ireland are subject to separately agreed travel, accommodation and related expenses. Any significant expected costs will be discussed with you beforehand.

08Coverage & Filming Hours

Unless otherwise stated in your chosen collection, coverage normally begins:

at approximately 10.00am where preparations are included; or
approximately one hour before the ceremony where preparations are not included.

Standard coverage finishes approximately 15 minutes after the first dance or at 10.30pm, whichever comes first.

We apply common sense where a first dance runs slightly late.

Where you would like coverage to continue beyond the agreed finishing time, additional coverage is charged at €75 per half hour, subject to the filmmaker’s availability. Filming will not continue beyond midnight unless expressly agreed beforehand.

If you definitely require us to remain beyond 10.30pm regardless of the timing of the first dance, please arrange this with us in advance.

09Filming on the Day

A wedding is a live event and cannot be repeated. We therefore use our professional judgement throughout the day to decide what to film, where to position ourselves and how best to tell the story.

While we make every reasonable effort to capture the important people and moments of your wedding, we cannot guarantee that every individual, detail, reaction or event will appear in the finished films.

We also cannot recreate moments missed because of circumstances outside our reasonable control—for example late schedule changes, restricted access, guests obstructing a camera, unexpected events or another supplier preventing a clear view.

We ask that you keep us informed of anything unusual or particularly important that you would like us to be aware of.

10Venues, Permissions & Other Suppliers

You are responsible for ensuring that filming is permitted at your ceremony, reception and any other relevant locations.

Some churches, celebrants, venues or event coordinators impose restrictions on camera positions, movement, lighting, audio equipment or drones. We will always work respectfully within those restrictions but cannot accept responsibility for resulting limitations in coverage.

We work happily alongside photographers, content creators and other suppliers. Where another supplier or guest blocks a camera, interferes with audio equipment or otherwise prevents a moment from being recorded, we cannot guarantee coverage of that moment.

Any filming fees or venue surcharges imposed specifically by a venue are the Client’s responsibility unless otherwise agreed.

11Drone & Specialist Equipment

Where appropriate, we may use drones, wireless microphones, stabilisers, specialist lenses and other equipment to enhance your films.

Their use is always at our professional discretion and depends on circumstances including weather, safety, time, location, permissions, privacy, controlled airspace and applicable law.

Booking a package that normally includes drone footage does not guarantee that a drone can legally or safely be flown on the day.

Where drone filming isn’t possible, this does not constitute a failure to provide the overall videography service.

12Creative Approach & Editing

When you book Monocle & Co., you are commissioning us because of our particular approach to filming, storytelling and editing.

Creative decisions—including shot selection, pacing, music, colour, sound design, film length, sequencing and overall interpretation of the wedding—remain with us.

We will always listen to reasonable requests and to anything important you’ve told us beforehand, but the final creative interpretation remains that of Monocle & Co.

The appearance and style of our work naturally evolves over time. Your film will therefore reflect our creative approach at the time it is produced rather than being an exact reproduction of an earlier wedding film.

13Delivery of Your Films

Wedding films are normally completed within approximately 15–20 weeks of the wedding and are generally edited in the order in which weddings were filmed.

This is an estimated delivery period rather than a guaranteed delivery date. During particularly busy periods, or where circumstances outside our reasonable control arise, delivery may take longer.

Short teaser or social-media films may be delivered earlier, but no specific delivery date for these is guaranteed unless agreed separately.

Films are normally delivered through an online viewing or delivery service such as Vidflow, Vimeo or another suitable platform.

Third-party hosting platforms can change or cease operating, so the digital film files themselves—not permanent online hosting—are the product being supplied.

Please download and safely back up your films after delivery.

14Changes & Revisions

When you receive your finished film, please watch it carefully and let us know within 7 days if you notice a technical issue or would like to request a reasonable change.

We include up to one hour of reasonable editing adjustments at no additional charge.

Requests requiring additional editing beyond this allowance are charged at €100 per hour, with the cost agreed before substantial additional work begins.

Creative changes remain subject to our professional judgement. Requests made substantially after delivery may be treated as additional editing work.

This review period does not affect any statutory rights you may have if the service supplied does not conform to the contract.

15Raw Footage & Archiving

Your finished wedding films are normally archived by us for up to one year following completion.

Raw camera footage is normally retained for at least six months from the wedding date and may be available for purchase during that period.

Raw footage is not included in your package unless expressly stated.

Because storage devices can fail and archive systems change, we cannot guarantee indefinite retention of either finished or raw material after these periods.

For that reason, once your films are delivered, please keep your own backup copies in more than one safe location.

16Copyright & Your Right to Share

Copyright in footage and films created by Monocle & Co. remains with The Seabury Studio Limited, unless copyright has specifically been transferred to you in writing.

Your delivered films are yours to enjoy. You may download, store and share them privately and may post your finished films on your own personal social-media accounts.

We ask that finished films are not substantially re-edited, recoloured, altered or presented in a way that misrepresents our work.

Where the film is supplied to a publication, wedding blog, venue or other commercial third party for publication, we appreciate an appropriate credit to Monocle & Co.

Copyright ownership does not affect your privacy rights or the choices described below regarding our promotional use of your wedding.

17Portfolio & Promotional Use

Our films are how future couples discover our work, and we greatly appreciate being able to share selected examples.

Subject to applicable data-protection law and any preference you communicate to us, we may use selected excerpts or still images from your wedding films in the Monocle & Co. portfolio, website, social media, showreels, wedding fairs, industry awards and other promotion of our filmmaking services.

If you would prefer your wedding to remain private, simply tell us in writing before the wedding. We will respect that request.

Where a more specific form of consent is legally required for a particular promotional use, we will obtain it separately where appropriate.

Our use of personal information and imagery is explained further in our Privacy Policy.

18Equipment Failure, Lost Footage & Liability

We use professional equipment, backup equipment and established working practices designed to minimise the risk of technical failure or loss.

Nevertheless, cameras, memory cards, microphones, wireless systems, computers and storage devices can occasionally fail, and circumstances outside anyone’s reasonable control can arise.

If part of the coverage is lost or unusable, we will assess the circumstances fairly and the significance of the affected material and discuss an appropriate remedy with you.

In the exceptionally unlikely event that the wedding cannot be meaningfully delivered because of total or catastrophic loss of the recorded material, our liability will ordinarily be limited to refunding the amounts paid for the affected videography services, to the fullest extent permitted by law.

We are not responsible for indirect losses that could not reasonably have been anticipated when the booking was made.

Nothing in these Terms excludes or limits liability where doing so would be unlawful, or limits any statutory rights or remedies available to you under Irish consumer law.

19Privacy & Personal Information

To manage your enquiry, booking, wedding and film delivery, we need to collect and process certain personal information.

This can include contact details, wedding information, correspondence, payment and transaction records and, naturally, photographic, video and audio recordings created while providing our services.

Information may also be processed using trusted service providers involved in operating our business, communications, storage and film delivery.

How and why we use personal information, how long different categories of information are retained and your data-protection rights are explained in our Privacy Policy, which forms part of the information provided to you when booking.

20Consumer Rights, Governing Law & Acceptance

These Terms are intended to create a clear and fair agreement between you and The Seabury Studio Limited trading as Monocle & Co.

Nothing in them is intended to remove or restrict any statutory rights or remedies available to you under Irish consumer law.

If a problem arises, please contact us first. We will always try to resolve genuine concerns reasonably and directly.

These Terms and our agreement with you are governed by the laws of Ireland, subject to any mandatory consumer protections that apply.

By completing our booking process, confirming that you have read and agree to these Terms and submitting your acceptance, you confirm that you understand and accept the agreement.
