The information we collect depends on how you interact with us.

If you make an enquiry or book Monocle & Co., this may include:

• your name and your partner’s name;
• email address and telephone number;
• wedding date;
• ceremony and reception locations;
• your selected collection or services;
• information you provide about your wedding plans;
• correspondence between you and Monocle & Co.;
• booking, contractual and payment information;
• information about how you heard about us; and
• other information you choose to provide through our enquiry or booking forms.

We try to collect only information that is reasonably useful in responding to your enquiry, managing your booking or providing our services.

03Information About Other People

Wedding planning sometimes requires information about people other than the couple.

You may, for example, provide us with:

• names of bridesmaids, groomsmen or other members of the wedding party;
• the name or telephone number of a bridesmaid, groomsman, family member or other alternative contact;
• names of people you would particularly like us to be aware of on the wedding day;
• names used in film titles or credits; and
• details of photographers, venues, celebrants, musicians, florists and other wedding suppliers.

We use this information only where reasonably necessary for planning and providing our services, communicating on the wedding day, identifying people where appropriate, producing your films or credits, and coordinating with or appropriately crediting other wedding suppliers.

Where you provide us with another person’s contact details, please ensure that it is reasonable for you to do so and, where appropriate, that they know their details have been shared with us.

Alternative wedding-day contact details are not intended to form part of a permanent marketing or client database and will not be used by us to market our services to that person.

04Wedding Films, Photographs & Audio

Providing wedding videography necessarily involves recording people.

Our footage may contain images, voices and other personal information relating to you, your wedding party, family members, guests, suppliers and others present during the wedding.

We process this material primarily in order to provide the videography services you have commissioned from us, including filming, editing, producing, storing and delivering your wedding films.

Our handling of footage is also governed by our Terms & Conditions.

Where selected footage or images are used for Monocle & Co.’s portfolio or promotional purposes, we will do so in accordance with applicable data-protection law and the privacy preferences communicated to us.

If you would prefer your wedding not to be used in our portfolio or promotional material, please tell us in writing.

05How We Use Your Information

We may use personal information to:

• respond to enquiries;
• prepare quotations and discuss potential bookings;
• create and administer bookings;
• communicate with you before, during and after your wedding;
• plan wedding-day coverage;
• provide our contracted filming and editing services;
• identify members of the wedding party where necessary;

• deliver your completed films;

• protect and operate our website and enquiry system;

• promote Monocle & Co. where we have an appropriate lawful basis to do so.

We do not sell personal information.

06Our Legal Bases for Using Personal Information

Data-protection law requires us to have a lawful reason for processing personal information.

Depending on the circumstances, we may rely on:

Steps taken before entering into a contract — for example, when you contact us to ask about availability, pricing or a possible booking.

Performance of our contract with you — where information is necessary to manage your booking and provide the services you have commissioned.

Different processing activities may rely on different lawful bases.

07Our Website & Enquiry Forms

When you begin an enquiry on our website, some of the information you type may be temporarily stored in your browser so that it can follow you from the homepage to the Contact page without you having to enter it again.

This may include your names, email address, telephone number, wedding date, venue and information you have entered about your plans.

This information is stored temporarily in your browser’s session storage and is not sent to us merely because you typed it into the form. It normally disappears when the browser session ends and is subject to a maximum temporary storage period.

We receive the information when you choose to submit the enquiry form.

Our enquiry system also records limited technical information necessary to process the submission and protect the form against automated spam and abuse.

08Website & Server Information

Like most websites, our web server may automatically record limited technical information when the site is accessed.

This may include:

• IP address;
• date and time of access;
• requested page or URL;
• browser or device information;
• referring page; and
• technical server information.

This information is primarily processed by our hosting provider for security, diagnostics, reliability and normal operation of the website.

We do not currently use this information to create individual visitor profiles.

09Vimeo & Film Playback

Our website uses Vimeo to play selected wedding films.

We have designed the website so that Vimeo is not loaded automatically simply because you visit a page containing a film. The Vimeo player is loaded only when you choose to play a film.

When you do so, your browser connects to Vimeo. Vimeo may therefore receive technical information such as your IP address, browser or device information and information about the page from which the player was opened.

Where available, we use Vimeo’s privacy-enhancing or “do not track” player settings.

Vimeo is a third-party service and its processing of information is also governed by its own privacy practices.

10Website Hosting & Email

Our website and business email services are hosted through our web-hosting provider.

When you submit an enquiry through the website, the information is transmitted securely to our website server and, in normal operation, delivered to our Monocle & Co. email account.

Our hosting and email provider therefore processes certain personal information on our behalf in order to provide hosting, server and email services.

We use appropriate service providers to assist us in operating our business and only provide them with information reasonably necessary for the services they provide.

11Cookies & Similar Technologies

At the date of this Privacy Policy, the Monocle & Co. website does not use analytics or advertising tracking technologies such as Google Analytics or Meta Pixel.

The website does use limited first-party browser storage for functional purposes, including remembering whether you have recently seen our opening sequence and temporarily carrying information you have entered in an enquiry between pages.

Our films are hosted by Vimeo, which is contacted only when you choose to play a film.

If we introduce analytics, advertising or conversion-tracking technologies in future, we will update our Privacy and Cookie information and, where required, ask for your consent before those technologies are activated.

12Analytics & Advertising

We may introduce privacy-controlled analytics and advertising technologies in the future, including services such as Google Analytics and the Meta Pixel, to understand how visitors find and use our website and to measure the effectiveness of advertising campaigns.

These technologies are not currently active.

If they are introduced, non-essential analytics or advertising technologies will not be activated until the appropriate consent has been obtained where required by law.

You will also be given a way to change or withdraw your choices.

This Privacy Policy and our Cookie Policy will be updated to describe the services actually in use.

13Social Media & Wedding Suppliers

We may use information about wedding suppliers to appropriately credit or tag the people and businesses involved in a wedding when sharing permitted work through our website or social-media channels.

Where supplier information relates to an identifiable individual rather than simply a business, we will handle that information in accordance with applicable data-protection law.

Information supplied to us about a wedding supplier will not be used by Monocle & Co. to add that individual to an unrelated marketing database.

14Who We Share Information With

We do not sell or rent your personal information.

Where necessary, information may be processed by trusted organisations that help us provide and operate our services, including:

• our website and email hosting provider;
• Vimeo, when you choose to play hosted films;
• professional advisers such as accountants, legal advisers or insurers where reasonably necessary;
• payment or financial service providers where applicable;
• technology, storage or delivery providers used in producing or delivering your films; and
• public authorities where disclosure is required by law.

We aim to share only the information necessary for the relevant purpose.

Some technology providers may process information outside Ireland or the European Economic Area. Where this occurs, we will take appropriate steps to ensure that the transfer is made in accordance with applicable data-protection law.

15How Long We Keep Information

We do not keep every category of personal information for the same length of time.

We retain information only for as long as reasonably necessary for the purpose for which it was collected, including providing our services and meeting appropriate legal, accounting, tax, contractual and business requirements.

As a general approach:

Unsuccessful or unconfirmed enquiries are retained only for a reasonable period where they may still lead to a booking or where correspondence needs to be retained for legitimate business purposes.

Confirmed client and booking records may be retained for longer where necessary to provide the service, maintain contractual records or establish or defend legal claims.

Invoices, transaction and accounting records are retained for the periods required under applicable Irish law.

Alternative wedding-day contact information is retained only for as long as reasonably useful for the wedding and immediate follow-up.

Raw wedding footage is normally retained for at least six months from the wedding date, as described in our Terms & Conditions.

Finished wedding films are normally archived by us for up to one year following completion, although availability beyond the delivery of your films is not guaranteed.

Temporary enquiry information stored in your browser expires automatically and is not retained by us unless the enquiry is submitted.

Information may occasionally need to be retained for longer where required by law or in connection with an actual or potential legal dispute.

16Keeping Your Information Secure

We take reasonable technical and organisational measures to protect personal information against accidental loss, unauthorised access, alteration, disclosure or misuse.

Our website has deliberately been designed to minimise unnecessary sharing of visitor information with third parties.

No method of electronic storage or transmission can be guaranteed to be completely secure, but we regularly review how information is collected, stored and handled.

17Your Data-Protection Rights

Depending on the circumstances and the legal basis on which information is processed, you may have the right to:

• ask what personal information we hold about you and obtain a copy;

19Other People’s Privacy

Your wedding film will naturally include people other than you.

If you provide us with personal information about another person—for example an alternative contact number—please consider their privacy and only provide information reasonably necessary for your wedding arrangements.

If someone contacts us directly about personal information relating to them, we will consider their request in accordance with applicable data-protection law and the circumstances in which the information is being processed.

20Changes to This Privacy Policy

Our website, technology and services may evolve.

We will review this Privacy Policy when our processing activities materially change and update it where necessary—for example if we introduce new analytics, advertising, payment, booking or film-delivery technologies.
